Who looks after your information?

Inkog Ltd is the controller of personal information used to run our print business. We are registered in England and Wales, company number 16331926, at 69 Station Road, Harrow, HA2 7SR, United Kingdom. Contact office@inkog.co.uk or 020 8064 1069 about privacy or your data rights.

What we collect and where it comes from

We receive information you provide when ordering, uploading artwork, requesting a quote, creating an account, contacting us or subscribing to offers. This includes your name, contact and delivery details, order choices, correspondence, artwork, account details and marketing preferences. Artwork may contain information about other people: only send material you are authorised to use and avoid unnecessary sensitive information.

Our store and service providers also process device and browser details, IP addresses, cookie identifiers, site activity, payment status and fraud-prevention information. Payment providers handle card details securely; please do not send card numbers by email. We receive relevant updates from payment, production and delivery providers. If somebody orders on your behalf, they may give us your delivery or contact details.

Why we use it and our legal bases

  • Orders, quotes and support: to take steps you request before a contract and perform our contract, including preparing artwork, printing, delivery, payment and resolving problems.
  • Business administration and security: our legitimate interests in responding to enquiries, keeping records, preventing fraud, protecting the website and establishing or defending legal claims. We balance these interests against your rights.
  • Legal requirements: complying with accounting, tax and other applicable legal obligations.
  • Marketing and optional tracking: your consent where required. You can unsubscribe from marketing or change cookie preferences at any time. Order updates are service messages and continue when needed for your purchase.

We need contact, payment and delivery information to fulfil an order. If it is not provided, we may be unable to supply the service. We do not need you to agree to optional marketing to buy from us.

Who receives information

We share information needed for the task with our ecommerce platform, payment providers, artwork-processing and print-production service providers, couriers, hosting and IT support, communications providers and professional advisers. We may disclose information when legally required or to protect legal rights. We do not publish your artwork as a marketing example without permission.

Our store uses Shopify. Its enabled Network Intelligence services can use interactions with our store alongside information from other stores to improve services, advertising and personalisation, subject to applicable choices and law. Shopify is responsible for its own processing for those purposes. Read its consumer privacy policy and use its privacy portal for related rights.

International processing and retention

Some service providers process information outside the UK. Where transfer restrictions apply, the relevant transfer must rely on an adequacy decision or appropriate contractual safeguards, such as approved standard clauses with the UK addendum or a UK International Data Transfer Agreement. Contact us for details of safeguards relevant to your information.

We retain order and accounting information for applicable legal record-keeping periods and as needed to deal with disputes. Artwork, enquiries and support records are kept for as long as reasonably needed for the job, follow-up, reprint support or a legal claim; the period depends on the purpose, sensitivity and any legal retention duty. Marketing preferences are retained until withdrawn, with minimal suppression information kept to respect an opt-out. We review retention and can explain the criteria for a particular record on request.

Your choices and rights

Depending on the circumstances, you can ask for access, correction, deletion, restriction or transfer of your information, object to processing based on legitimate interests, and withdraw consent without affecting earlier lawful processing. You can always object to direct marketing. We may need to verify your identity and will normally respond within one month; we will explain any lawful extension or exception.

Contact us if you want a person to review a decision or resolve a concern. You can complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint or telephone 0303 123 1113.
